Registration

Whether you are an individual or group delegation, it’s easy to register for SSICSIM 2024!

Rules and Regulations

Here at SSICSIM, we take our rules and conduct very seriously. Our expectation is that as members of the conference, you do the same! It is imperative and mandatory that these values are upheld and that all participants (Staff, Secretariat, Directors, Delegates, Teacher Advisors, etc.) are treated equally and with respect. Please read our rules and regulations below.

Registration Information

What is a Group Delegation?

Group delegations are any group of two or more delegates who register together. Typically group delegation are high school Model United Nation teams. If you register as a group delegation, at least one teacher advisor or faculty member must attend with your delegation.

SSICSIM does not require a ‘Head Delegate’ for group delegations. The teacher adviser or faculty member will serve in this role, and will be required to attend the ‘Head Delegate & Faculty Sessions’ hosted by the Secretariat throughout the conference. The teacher adviser or faculty member responsible for the delegation must RSVP on behalf of their delegation before individual delegates can complete the remainder of the registration process.

Delegations can register at most 35 delegates.

What is an Independent Delegate?

SSICSIM allows individuals to register without a group or as part of a school. If you register as an individual delegate, your parent/guardian must take full responsibility for your conference registration, conference fees, and attendance. While they are not required to be present at the conference, the individuals listed as your primary and secondary parent/guardian contact must be reachable during the conference in the event of a problem or emergency.

Additionally, by attending as an individual delegate you also serve as a ‘Head Delegate’ and are therefore required to attend the ‘Head Delegate & Faculty Sessions’ hosted by the Secretariat at various points during the conference. Individual Delegates do not need to complete the RSVP form. Instead, they must register via the Delegate Registration form.

How to Register

A Delegation RSVP Form and an Individual Delegate Registration form will be posted on our website on June 1st, 2024.

  1. [For Group Delegations] Your Faculty Advisor/Head Delegate will be responsible for filling out the Delegation RSVP Form on behalf of their delegation, which will collect delegation contact information and approximate size. Once our Registration team confirms this RSVP, your school/institution has successfully registered for SSICSIM 2024 and will be added as an option for delegates on the Individual Delegate Registration Form. Your delegates may then fill out the Individual Delegate Registration Form indicating their delegation affiliation and committee preferences.

  2. [For Independent Delegates] You may directly fill out the Individual Delegate Registration Form and indicate your status as an Independent Delegate, committee preferences, and payment confirmation.

*Please note that SSICSIM is a conference ONLY for high school delegates from grade 9 to 12.

Payment Policy

Given that Early Bird and Late Registration requires that we hold your spots, we kindly request that group delegates paying individually and independent delegates registering within these timeframes pay immediately. For group delegations paying collectively (e-transfer or cheque) within these periods, invoices will be sent post-registration (or upon confirmation from FAs/HDs that the delegation has completed registration), and these delegates will not be prompted to pay directly at registration.

All delegations paying collectively (e-transfer or cheque) will be invoiced on or before October 12th, 2024 and will be expected to complete their payment within two weeks of being invoiced.

The only instance in which SSICSIM may delay issuing a fee is if a delegate has applied for financial aid.

Cancellation Policy

Delegates may cancel their registration at any time by notifying the Chargee D’Affaires at registration@ssicsim.ca. Partial refunds may be issued depending on time the delegate initially registered.

  • 50% refunds will be issued for Early Bird registrants.

  • 25% refunds will be issued for Regular registrants.

  • No refund will be issued for delegates who registered during the Late Registration period.

After October 11th, 2024, once registration has closed for SSICSIM 2024, refunds will no longer be issued for delegates who withdraw from the conference.

With any questions or concerns about payment, cancellation, or invoicing, please contact us at registration@ssicsim.ca!
